QuickBridge now syncs InstaHMS billing data directly into QuickBooks Desktop.
If your team is exporting CSVs from InstaHMS and manually entering them into QBD, this integration replaces that workflow entirely.
What it does
- Pulls finalized bills, receipts, and patient records from InstaHMS
- Creates corresponding customers, invoices, credit memos, and payments in QuickBooks Desktop
- Runs on a schedule or on-demand from the QuickBridge control plane
Everything is delivered in dependency order — customers before invoices, invoices before payments — because QuickBooks Desktop requires it.
Key features
Duplicate prevention Every record gets a deterministic ID (UUID v5) derived from its source data. Sync the same bill twice and QuickBooks rejects the duplicate automatically. No cleanup needed.
Automatic dependency resolution Patient doesn’t exist in QBD yet? The integration creates it first. Service item missing? It gets created with the correct income account. You don’t need to pre-populate QuickBooks.
Self-healing item references If an item ID goes stale in QuickBooks (renamed, merged, re-created), the pipeline detects the failure, invalidates the old reference, re-resolves the correct item, and retries — all in the same sync run.
Metadata carried through
Each invoice line carries its original Activity ID, Charge Group, Charge Head, and MR Number into QuickBooks. Your accountants can trace any line item back to the clinical source.
Branch-aware sync windows Multi-location clinics can configure independent fetch windows per branch. Each branch syncs on its own schedule with its own cursor.
Full audit trail Every sync run logs what was fetched, what was projected, what was delivered, and what was deferred — with the reason. Visible from the QuickBridge dashboard.
